Senior Specialist / Project Manager

In this role you will lead practice operations within the assigned region, ensuring alignment with The Institute for Family Health's standards and policies. You will manage staffing, patient access, and administrative systems to improve efficiency and patient satisfaction. You will collaborate with the Medical Director and Departmental Administrator to implement improvement initiatives and maintain regulatory compliance. This is a hands-on, cross-functional role that shapes day-to-day operations and long-term performance in a busy clinical setting.
Responsibilities
- Oversee and resolve issues across practice systems (appointments, referrals, records, billing)
- Manage staffing coverage and supervise administrative staff
- Develop provider schedules and monitor scheduling accuracy
- Lead performance improvement activities and evaluate methods for efficiency
- Handle patient flow management with Nurse Manager support
- Maintain policies/procedures with Medical Director and Departmental Administrator
- Ensure compliance with Article 28 and JCAHO regulations
- Prepare reports and manage administrative data (statistics, cash handling, procurement)
- Coordinate site maintenance and administrative services
- Provide Patient Service Representative support as needed
- Participate in management meetings and deliver meeting minutes/reports
- Respond to patient complaints and maintain service quality
- Oversee training, hiring, evaluation, and discipline of staff
- Monitor and improve patient satisfaction and access
- Ensure regulatory readiness for surveys and audits
- Comply with online trainings and employee health requirements
- Manage equipment, security, and computer operations
Key requirements
- Bachelor’s degree (or equivalent substitute: 3 years IFH Practice Administrator experience)
- 1 year IFH experience or master’s degree in healthcare/business
- Knowledge of JCAHO and Article 28 regulations
- Experience hiring, evaluating, developing, and disciplining staff
- Proficiency with Microsoft Office and Windows applications
- Experience with data analysis and electronic health records technology
- Ability to manage site maintenance, housekeeping, provisioning, and security
- Strong leadership, problem solving, and decision-making skills
- Basic computer and internet navigational skills
- Familiarity with EHR technology
